Data Import and Update Options in SAP Business One

As I’m sure you can imagine, in a system as robust as SAP Business One, there is a lot of data being constantly moved around in any one system. And of course, you wouldn’t want to be missing data or have any of that data to be out of date. In the Training outlined below, SAP experts Karina Milman and Elizabeth Cameron go over a few different ways to import and update data in SAP Business One.

Crash Course in Parent/Child Tables in SAP B1


Before getting into the details of the training, Elizabeth gives a quick “Crash Course” in some terms and setup in SAP B1.

Parent/Child Table Structure

View > System Information

Primary Key Between Parent/Child Tables

Data Transfer Workbench (DTW)


Moving on quickly, Beth starts right into the DTW.

The first thing to do, if you don’t already know, is determine whether or not you even have DTW.

DTW comes with SAP B1, but does not download automatically – if you can’t find it, you may need to download it to your system

After finding the Data Transfer Workbench window, you can see useful things such as Templates and Samples to assist with your data transfer.



Taking the lead, Karina first shows how to use a template to update a data system.

When updating a group with a template you need to use the Code – to find, go into the OCRG Table.

You also have to make sure you use the same format every time.

To ensure everything goes smoothly, it is recommended you test the update in Sandbox first.

DTW Tips and Tricks


  • Using .txt file type with commas
  • Keeping template columns in order
  • Generating a new template after adding a user defined field
  • Run as Administrator

Data Import From Excel


Unlike the DTW, Import from Excel is already installed in SAP, so you can get started without worry.

To access the Import From Excel, go to:

Administration > Data Import/Export > Data Import > Import From Excel

Careful! If the file you are uploading is open in the background, the upload will fail, and you will get several error messages!
